The Problem

A database of transactions, not relationships

When I inherited this system, there was no concept of a "partner." There was a flat table of drives — 247 rows, no relationships, no history. First Baptist Church appeared 3 times and you'd never know it was the same organization.

That meant no one could answer basic questions: Who's our contact? Do they have a W-9? How many pounds have they raised lifetime? When did we last talk to them?

The system clones the Master Partner Checklist into the partner record, sets due dates based on drive start, and enables all Outbox email buttons for the current lifecycle stage.

Three systems respond to one status change: the Outbox stages the Welcome Kit for review, a W-9 request is queued if missing, and the assigned ADLM receives notification for bin logistics planning.

Trigger-based automation: when status reaches "Scheduled," downstream workflows fire automatically — bin routing, ADLM assignment, pickup prep. No manual handoff needed.

Exception flag raised on the Uh-Oh Board with countdown
If a W-9 is missing within 14 days of drive start, the partner appears on exception dashboards. One of the few time-aware triggers — because payment deadlines are real.

Drive locked + thank-you staged + renewal target set (6 months)
The drive record locks to prevent accidental edits. Thank you is staged in the Outbox. The system auto-sets a renewal target 6 months out and creates an outreach task 30 days before.
Pounds entered
Results email generates with impact data and payout amount
When pound totals are entered, the system generates the results email with calculated payout. Sent through the Outbox for final review.
Any status change
Available actions update — only relevant buttons for current stage
The interface adapts to where the partner is. You can’t accidentally send a pickup reminder to a partner still in scheduling.
