Scaling Partner Operations with Airtable
I redesigned a broken, drive-only system into a full operations platform — managing 50+ partners across multiple states with zero missed follow-ups.

A database of transactions, not relationships
When I inherited this system, there was no concept of a "partner." There was a flat table of drives — 247 rows, no relationships, no history. First Baptist Church appeared 3 times and you'd never know it was the same organization.
That meant no one could answer basic questions: Who's our contact? Do they have a W-9? How many pounds have they raised lifetime? When did we last talk to them?
Toggle between the before and after to see what changed.
Here's what's coming up:
• Your promo toolkit — flyers, social templates, and talking points
• Bin placement — your ADLM ([ADLM name]) will coordinate logistics
• Drive dates — [start] through [end]
• W-9 — needed before payout, we'll send a reminder

System prepares. Human decides.
Every email in the system is pre-written, personalized with partner data, and staged for one-click sending. But nothing sends automatically — because partners are people, not funnel entries.
The Outbox gives you the right email at the right time based on where the partner is in their lifecycle. Highlighted fields show exactly what needs personalization before you hit send.
21 automations that respond to reality
Every automation fires based on what's actually happening — a status change, a missing document, a completed pickup — not a scheduled cron job or calendar reminder.
One status change can trigger a cascade across all three layers: partner ops, logistics, and enablement. Click any row to see the full chain.
Open it, work the list, go home
Priority Base is the daily execution view — every morning, open it, see who needs attention, and work through the list. No digging through tabs, no wondering who fell through the cracks.
Each row shows status, task progress, days in system, and exception flags. Click any partner to expand their full detail panel with contact info, outbox status, and next actions.
